Summary

Provides direct administrative support to Account Operations Executive as well as other leaders on the account. Displays a professional and polished demeanor and exhibits an exceptional commitment to accuracy, detail, and follow-up. The incumbent will handle confidential information and exercise sound judgment and discretion. Works on problems of diverse scope requiring analysis and critical thinking. Extensive experience working with a variety of stakeholders such as employees, customers, vendors, and visitors.

Your role in our mission

  • Completes a broad variety of administrative tasks, including managing an extremely active calendar of appointments for multiple stakeholders, preparing and delivering confidential correspondences, and responding to internal, external and customer requests timely.
  • Uses current office applications and technologies to create and edit a variety of presentations, reports, documents and correspondence.
  • Provides a bridge for smooth communication between internal and external partners as well as our customers; builds relationships to gain trust and support.
  • Keeps team well informed of upcoming commitments and responsibilities, following up appropriately, and helping to keep a pulse on existing or potential issues.
  • Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion.
  • Supports other members of functional staff as needed to establish a network of coverage.
  • Coordinates meetings, prepares agendas, performs set up for web-based meetings, organizes pre-meeting materials/information, and takes minutes. Tracks follow-up items for various meetings.
  • On occasion may be asked to work outside of standard working hours, as needed.
  • Other duties as may be assigned, including special projects.

What we're looking for

  • 2 – 4 years of progressive administrative support experience
  • Must have excellent time management skills and ability to multi-task and prioritize work
  • Must have excellent written and verbal communication skills
  • Must have strong organizational, planning, time management and follow-up skills
  • High attention to detail
  • Proficient in Microsoft Office
    • Experience in Microsoft Teams, Planner and Flow a plus
  • Ability to work independently without close supervision
  • Ability to handle highly confidential information
  • Ability to coordinate activities and tasks including meeting strict deadlines
  • Ability to take and transcribe formal meeting minutes
  • Ability to research and resolve issues within the scope of the position
  • Ability to communicate with all levels of customer and business unit management
  • Ability to analyze problems and develop solutions
  • Ability to work in a fast-paced environment
  • Strong cooperative team player, ability to be flexible and adapt to a changing environment

The pay range for this position is $46,800 - $66,900 per year, however, the base pay offered may vary depending on geographic region, internal equity, job-related knowledge, skills, and experience among other factors.
