Summary

HMS, a Gainwell Technologies Company  

HMS is hiring a Mailroom Team Lead who is an integral part of the HMS business, performing various tasks and responsibilities such as sorting, opening, and prepping large volumes of mail for the purpose of scanning into an automated work distribution system. The team lead is responsible for supporting the activities within the department. The team lead oversees the daily department production activity and facilitates departmental workflow, while working closely with the Supervisor and or Manager. The Team Lead also trains, assists, and monitors staff. This is a full-time position, and the candidate must be able to work on-site.
 

 

Essential Job Functions


•    Informs, implements, and communicates all departmental and company policies and procedures.
•    At the direction of the Supervisor, may communicate directly with client and/or client personnel on status of requests, disposition of inquiries, etc.
•    Assures that inventory audits are performed regularly, escalating all non-reconciled discrepancies to direct Manager.
•    Assures that appropriate production-level documentation is completed for all production staff.
•    Completes production and quality assurance reports.
•    Delegates and directs daily workflow needs to employees.
•    Receives, retrieves, and delivers all requested files and/or containers per client request and within established service level agreements (SLAs).
•    Ensures physical security of the work area daily. Escalates any issues of concern to Management immediately.
•    Establishes schedules for the timely delivery and pick up of mail for the internal operation of the mail room. Makes mail runs when necessary.
•    Organizes the activities of the mail room and assists and supervises the mail clerks, document scanners, production clerks, etc., which could include recording mail room activities.
•    Assists mail clerks, scanners, and other team members in the daily sorting of mail.
•    Understands all mailroom procedures and leads projects and activities.
Maintains confidentiality and security of client information per HIPAA guidelines.
•    All other duties as assigned.
Basic Qualifications
•    Ability to follow written as well as oral directions. Ability to take on various tasks at the same time to completion without errors. Ability to work under tight timelines and meet deadlines. 
•    Strong organizational and time management skills, strong communication skills.
•    Skills working independently as well as in a team required. Must be able to maintain high production levels.
•    Repetitive motion is required; may require twisting/bending/climbing.
•    Ability to lift 35 lbs. periodically. Requires sitting/standing/walking and the ability to walk and stand more than 50% of the week.

The pay range for this position is $37,400.00 - $46,700.00 per year, however, the base pay offered may vary depending on geographic region, internal equity, job-related knowledge, skills, and experience among other factors.
