Summary

The Senior Associate, Executive will provide high-level administrative, operational, and project coordination support to the pharmacy executive team. This role will help drive executive efficiency by managing travel, expense reporting, meeting logistics, strategic planning support, and follow-up on key priorities. The ideal candidate is highly organized, proactive, detail-oriented, and comfortable supporting senior leaders in a fast-paced, matrixed environment. 

Your role in our mission

  • Provide executive-level administrative support to the pharmacy executive team, including calendar coordination, meeting scheduling, travel planning, expense reporting, and day-to-day operational support.
  • Coordinate domestic and client-facing travel arrangements, ensuring schedules, itineraries, approvals, and expense submissions are completed accurately and in alignment with company processes.
  • Support strategic planning activities by organizing leadership meetings, tracking key priorities, maintaining planning materials, and helping ensure follow-through on executive commitments.
  • Lead meeting organization for pharmacy leadership forums, including agenda development, meeting materials coordination, participant follow-up, documentation of key takeaways, and tracking action items to closure.
  • Manage small to mid-sized operational and strategic projects by coordinating timelines, stakeholders, deliverables, risks, decisions, and status updates across pharmacy leadership and cross-functional partners.
  • Prepare, organize, and maintain executive-level documentation, including meeting notes, planning trackers, presentation inputs, follow-up summaries, and leadership communications.

What we're looking for

  • Experience providing administrative or operational support to senior leaders, executives, or leadership teams in a complex business environment.
  • Strong organizational and project coordination skills, with the ability to manage multiple priorities, timelines, meetings, and follow-up actions with minimal direction.
  • Demonstrated experience coordinating meetings, preparing agendas, capturing key takeaways, documenting decisions, and tracking action items to completion.
  • Proficiency with Microsoft Office tools, including Outlook, Teams, Word, Excel, and PowerPoint, with the ability to create clear, professional, executive-ready materials.
  • Excellent written and verbal communication skills, sound judgment, discretion with confidential information, and the ability to work effectively with senior leaders and cross-functional teams.

What you should expect in this role

  • This is a full-time permanent regular salaried (W-2) employee position.
  • Monday through Friday work schedule (40 hours per week).

  • Video cameras must be used during all interviews, as well as during the initial week of orientation if hired.

The pay range for this position is $26.00 - $37.00 per hour, however, the base pay offered may vary depending on geographic region, internal equity, job-related knowledge, skills, and experience among other factors.
