Benefits Leave Administrator

Serves as a liaison between the employee, management, related departments and external agencies. This position is responsible for providing general information related to the ADA, FMLA, worker’s compensation, and leave of absence requests. Responsible for policy interpretation, research and problem resolution as requested while coordinating employee requests. Works with our third party Leave Administrator to ensure the various leaves are appropriately processed for employees, FMLA eligibility along with other state, or federal regulates leaves are determined of absence and sends out applicable correspondences regarding the status of the employee’s leave of absence requests.

 

Essential Job Functions

 

  • Handles the FMLA leave administration process from the employee’s initial notice of need for leave to return to work.
  • Works with the third party Leave Administrator which may include gathering and completing all required paperwork, determining eligibility, leave designation, requesting medical certification as needed and accounting for intermittent and reduced schedule leave
  • Effectively receives, reviews, and makes appropriate decisions regarding requests for accommodation and leave under FMLA, ADA, USERRA, Pregnancy leave
  • Conducts ongoing auditing, reconciliation, record maintenance, and other reporting functions, ensuring program compliance with government regulations
  • May prepares notes based on interviews, actions taken and gather information from the third party Leave Administrator to fulfill management requests.
  • Coordinates workers' compensation claims with third-party administrator.
  • Accurately responds to inquiries regarding policies, procedures, programs, and compliance issues
  • Identifies the need for changes in policies, procedures, and processes, taking the initiative to implement within assigned area of responsibility and inform for others
  • Maintains close contact with employees and managers to keep them informed about expected leave duration, return to work dates, and extensions
  • Gathers critical and confidential data as requested, i.e., medical documentation, case notes, etc. to support the company in its compliance efforts and legal matters
  • Consults with General Counsel and others to resolve issues
  • May also administer various employee benefits programs, such as group health, flexible spending accounts, dental and vision, accident and disability, and life insurance.
  • Conduct audits and maintain employee benefits filing systems and ensure benefits changes
  • May assist with monthly benefit financials, i.e., benefits billing, verifying the calculation of the monthly premium statements for all group insurance policies and maintaining statistical data relative to premiums, claims and costs.
  • Assists with the open enrollment and new hire enrollment processes.
  • May be responsible for assisting with the tuition reimbursement program.
  • Other duties as assigned.

 

Basic Qualifications

 

  • Associates degree in HR or related field preferred, or equivalent experience, other training/ certification in lieu of education.
  • SHRM-CP or SHRM-SCP and CEBS professional designations preferred.
  • Ability to effectively interpret FMLA and ADA implications as they relate to leaves of absences/disabilities.
  • Strong judgement, decisiveness, critical thinking, and excellent oral and written communication skills to work effectively with employees at all levels of the organization.
  • Ability to conduct presentations to all employees.
  • Extensive knowledge of employee benefits and applicable federal and state laws.
  • Excellent written and verbal communication skills.
  • Excellent organizational and time management skills.
  • Proficient with Microsoft Office Suite or similar software.
  • Ability to work under pressure with multiple interruptions and meet deadlines
  • Ability to thrive in a fast-paced, customer-service oriented collaborative team environment.
