Summary

Gainwell Technologies is seeking an experienced Mail Room Supervisor to support operations for California’s Medi-Cal program at our West Sacramento office.

In this role, you will oversee the daily operations of a high-volume mail room responsible for receiving, processing, scanning, indexing, securing, and distributing mail and documents related to Medi-Cal member services, claims, and provider services.

You will lead mail room employees, manage daily workflow and production, monitor quality and service levels, and help ensure documents are processed accurately, securely, and within established turnaround times.

Your role in our mission

  • Supervise daily mail room operations, including receiving, sorting, preparing, scanning, indexing, routing, and distributing incoming mail and documents.
  • Lead, coach, train, and support mail room employees while monitoring performance, productivity, attendance, quality, and daily workflow.
  • Monitor production volumes, turnaround times, quality measures, and service level agreements (SLAs) to ensure operational expectations are consistently achieved.
  • Ensure confidential documents and information are handled securely and in accordance with HIPAA, privacy requirements, document retention policies, and established procedures.
  • Identify and resolve workflow, quality, equipment, and operational issues, including coordinating equipment maintenance and repairs when needed.
  • Partner with internal departments, leadership, and external vendors to resolve escalations, improve processes, and support efficient mail room operations.

What we're looking for

  • Three or more years of experience in mail room operations, document processing, document imaging, records management, production operations, healthcare administration, or a related environment.
  • Three or more years of supervisory or leadership experience, including responsibility for coaching, training, workflow management, and employee performance.
  • Experience managing a high-volume production environment with established productivity, quality, turnaround-time, or SLA requirements.
  • Familiarity with scanning systems, document imaging, workflow management software, and related mail room or document-processing technology.
  • Strong organizational, analytical, critical-thinking, and problem-solving skills with the ability to manage multiple priorities in a fast-paced environment.
  • Proficiency with Microsoft Office applications, including Excel, Word, and Outlook.

 

What you should expect in this role

  • This is a 100% onsite position at our West Sacramento, CA office. Remote or hybrid work is not available for this role.
  • You will work in a high-volume, metrics-driven mail room and document-processing environment.
  • This position requires regular interaction with employees, leadership, internal business partners, and external vendors.
  • The role may require frequent standing and walking and other physical activity associated with mail room and document-processing operations.
  • You will be responsible for supporting daily operational performance, employee productivity, quality, security, and service-level expectations.

The pay range for this position is $54,200 - $77,400 per year, however, the base pay offered may vary depending on geographic region, internal equity, job-related knowledge, skills, and experience among other factors.
