Summary
Gainwell Technologies is seeking an experienced Mail Room Team Lead to support operations for California’s Medi-Cal program at our West Sacramento office.
In this role, you will help lead the day-to-day activities of a high-volume mail room operation responsible for receiving, sorting, opening, preparing, scanning, and distributing incoming mail and documents. You will coordinate daily workflow, monitor production and quality, train and support team members, and help ensure work is completed accurately and within established service level requirements.
This is a hands-on lead position. In addition to coordinating the work of the team, you will actively support mail room processing activities as needed to keep production moving and meet daily operational goals.
Your role in our mission
- Coordinate and direct daily mail room workflow, including receiving, sorting, opening, preparing, scanning, routing, and distributing high volumes of incoming mail and documents.
- Provide day-to-day guidance and support to mail clerks, document scanners, production clerks, and other team members, including assisting with training and monitoring workflow and productivity.
- Monitor production volumes, quality, inventory, and service levels; complete required production and quality reports and escalate discrepancies or operational concerns to management.
- Ensure mail, files, documents, and other materials are received, retrieved, processed, and delivered accurately and within established procedures and service level agreements (SLAs).
- Help maintain an organized and secure work environment while ensuring confidential information is handled appropriately and in accordance with applicable privacy, security, and HIPAA requirements.
- Partner with supervisors and managers to address workflow issues, support operational priorities, communicate procedures, and assist directly with mail processing and other production activities as needed.
What we're looking for
- High school diploma or equivalent.
- Experience working in a mail room, document processing, scanning/imaging, records management, production, warehouse, administrative operations, or a similar high-volume environment.
- Previous experience as a team lead, senior team member, workflow coordinator, or in a position responsible for providing day-to-day guidance to other employees is preferred.
- Strong organizational and time-management skills with the ability to prioritize multiple tasks, maintain accuracy, and meet production deadlines.
- Strong communication skills and the ability to work independently while effectively supporting a team in a fast-paced production environment.
- Ability to follow written and verbal instructions, maintain confidentiality, and consistently follow established policies, procedures, and quality standards.
What you should expect in this role
- This is a 100% onsite position at our West Sacramento, CA office. Remote or hybrid work is not available for this role.
- Work is performed in an office/mail room production environment and may involve repetitive tasks throughout the workday.
- The position requires frequent standing and walking and may require bending, twisting, reaching, and other physical activity associated with mail room operations.
- Must be able to periodically lift and move materials weighing up to 35 pounds.
- This is a hands-on lead role that may require assisting with sorting, processing, scanning, and distributing mail to support daily production needs.

The pay range for this position is $37,500 - $53,000 per year, however, the base pay offered may vary depending on geographic region, internal equity, job-related knowledge, skills, and experience among other factors.
